Job Title: Data Entry Clerk Job Type: (Remote) Job Summary The Data Entry Clerk — Administrative / Office Support is responsible for accurately entering, updating, organizing, and maintaining company information and records. This position provides administrative assistance to various departments by processing documents, maintaining databases, preparing reports, organizing files, and supporting day-to-day office operations. Key Responsibilities Enter, update, and maintain accurate information in databases, spreadsheets, ERP systems, and other company systems. Review source documents for completeness, accuracy, and consistency before entering information. Verify entered data against original documents and correct errors or discrepancies. Process invoices, forms, applications, orders, records, correspondence, and other administrative documents. Maintain organized electronic and physical filing systems. Scan, upload, rename, categorize, and archive documents according to company procedures. Retrieve and provide records and documents when requested by authorized personnel. Prepare spreadsheets, reports, lists, summaries, and other administrative documents. Update customer, vendor, employee, inventory, financial, or operational records as assigned. Assist with document preparation, formatting, printing, copying, and distribution. Respond to routine internal requests for information and administrative support. Route documents, correspondence, and requests to the appropriate departments or personnel. Monitor shared inboxes, administrative requests, or data-entry queues as assigned. Assist with scheduling, meeting preparation, and general office coordination when required. Maintain office supplies and assist with supply ordering and inventory tracking. Support mail, shipping, receiving, and document distribution activities. Assist departments with routine administrative and clerical tasks. Perform data searches and retrieve information from company databases and filing systems. Identify duplicate, incomplete, outdated, or inconsistent records and coordinate corrections. Maintain confidentiality of company, customer, employee, financial, and other sensitive information. Follow established data-entry procedures, document-control standards, and internal policies. Assist with audits, record reviews, data cleanup, and administrative projects. Meet established data-entry accuracy, productivity, turnaround-time, and quality standards. Identify opportunities to improve administrative workflows, filing systems, and data-entry processes. Qualifications High school diploma or equivalent required. 1–2 years of data entry, administrative, clerical, office support, or related experience preferred. Strong typing and data-entry skills with a high level of accuracy. Proficiency with Microsoft Office, particularly Excel, Word, and Outlook. Strong attention to detail and organizational skills. Good written and verbal communication skills. Ability to handle repetitive tasks while maintaining accuracy and productivity. Ability to manage multiple priorities and meet deadlines. Basic knowledge of office equipment such as scanners, printers, copiers, and multifunction devices. Ability to handle confidential information professionally. Preferred Qualifications Experience with ERP, CRM, document-management, or database systems. Experience with Microsoft Excel, including sorting, filtering, formatting, and basic formulas. Experience with electronic document management and digital filing systems. Experience processing invoices, purchase orders, customer records, or other business documentation. Experience with optical character recognition (OCR) or document-scanning systems. Familiarity with office administration and records-management procedures. Experience supporting multiple departments in a fast-paced office environment. Bilingual or multilingual communication skills where required.
